How to Use This Calculator
- Enter the number of guests (adults only).
- Set event duration in hours.
- Adjust the beer/wine/cocktail mix to match your crowd.
- Switch tabs for wedding, cocktail hour, or pro planning modes.
Formula
Drinks per person = 1 (first hour) + 0.5 × (hours − 1)
Total with buffer = Guests × Drinks/person × 1.20
Example
40 guests, 4-hour party: 1 + (3 × 0.5) = 2.5 drinks/person. 40 × 2.5 × 1.2 = 120 drinks total.
Frequently Asked Questions
- The standard rule is 1 drink for the first hour and 0.5 drinks each additional hour. A 4-hour party works out to about 2.5 drinks per person. Always add a 20% safety buffer.
- If half your guests drink wine at a 4-hour party: 25 guests × 2.5 drinks × 1.2 buffer = 75 glasses. At 5 glasses per bottle, you need about 15 bottles of wine.
- Plan for 1.5 lbs of ice per person. For 50 guests that is 75 lbs — about three 25-lb bags — to keep drinks cold throughout the event.
- On average about 20% of guests at a social event are non-drinkers. Plan non-alcoholic options like sparkling water, lemonade, or mocktails at the same 1 drink/hour rate.
